Company Scope:
This SOP outlines the recruitment stages managed by our sourcing agency.We operate as a front-end recruitment partner for licensed manpower companies in Nepal. Our responsibilities include candidate sourcing, interview preparation, selection coordination, medical facilitation, and documentation handover.

1. Job Brief Intake from Client 

  • Receive detailed job requirement documents from the client.
  • Confirm job titles, vacancy numbers, qualifications, experience, salary, benefits, and work location.
  • Record preferred timelines and interview modality (in-person/virtual).

2. Candidate Sourcing & Outreach

  • Advertise vacancies using:
    Social media (Facebook, TikTok, WhatsApp groups) Regional agents and sourcing partners Posters, local media, or SMS campaigns
    Activate internal database and referrals

3. Candidate Registration & Document Collection

  • Register each applicant in the internal system/database.
  • Collect and verify:
    Citizenship copy
    Valid passport or proof of application
    Academic, vocational, and experience certificates
    CV or biodata format as per client standard

4. Pre-Screening & Interview Preparation

  • Conduct initial screening:
    Check language ability, physical presentation, communication
    Evaluate role-specific knowledge
  • Prepare candidates for final interview:
    Share interview tips, FAQs, and grooming advice
    Organize briefings or mock interview sessions

5. Employer Interview Coordination

  • Schedule final interview batches with client team.
  • Notify shortlisted candidates of date, time, and venue/platform.

6. Medical Examination Facilitation

  • Refer selected candidates to client-approved/GAMCA-approved clinics.
  • Ensure candidates attend medical on time.
  • Follow up on report collection, re-medical cases, and fitness status.

7. Documentation Follow-Up & Handover

  • Collect final documents from candidates:
    Original medical report
    Passport
    Signed employment contract or forms as instructed
  • Prepare individual candidate file for client handover.
  • Update client documentation tracker.
